Building Operational Clarity Through Self-Serve Systems

Maple’s business development teams required faster access to branded materials without sacrificing consistency across communications and presentations. This project centralized templates, governance frameworks, onboarding resources, and workflow structures into a scalable self-serve ecosystem designed to support distributed sales and marketing teams.

The portal connected templates directly to brand governance resources, creating a clearer source of truth across teams.

Enablement resources and onboarding guides helped teams adopt the system independently without relying on ongoing design support.

The system supported a broad range of business development materials through one connected operational framework.

The project transformed fragmented production workflows into a structured self-serve ecosystem using existing internal tools and processes.

Challenge

Maple’s distributed business development teams required quicker access to branded collateral, presentations, and communication tools while maintaining consistency across departments. Existing workflows relied heavily on fragmented resources and manual production support, creating inefficiencies, inconsistent execution, and operational bottlenecks as teams scaled.

Approach

Designing systems that balanced accessibility with governance

Designing systems that balanced accessibility with governance

The project focused on creating a centralized self-serve ecosystem that combined templates, onboarding resources, governance frameworks, and workflow structures into a scalable operational environment. Rather than functioning as a static resource library, the system established clearer pathways for teams to create materials independently while understanding when additional review, support, or escalation was required. The work emphasized clarity, usability, and long-term scalability across distributed teams and evolving communication needs.

Outcome

The final system created a more accessible and scalable approach to brand execution across business development and marketing teams. By centralizing resources and clarifying operational workflows, the project reduced friction within day-to-day production processes while improving consistency across presentations, proposals, and communication materials.

Google Sites, Drive, Frontify, and Slack were combined into a lightweight operational ecosystem that reduced friction without introducing additional software.

Reflection

The project reinforced that effective operational systems depend as much on clarity and adoption as visual consistency. Much of the work focused on designing structures that teams could navigate confidently, ensuring governance frameworks supported usability rather than creating additional complexity or production barriers.
